Organizing your Electronic Files
Organizing electronic files can be a very tedious task if you have kept your files haphazardly or in different folders. The computers have definitely made our lives easy but we need to organize our electronic work in the same manner as the real world. Effective management of the office files not only reduces e-waste but also enables you to create a back up for your files and documents.
Here are some tips for organizing your electronic files and documents:
Firstly, you need to determine your priorities. Decide what information you want to organize electronically. There may be some files which are more important than the other ones, so you need to sort out then in the order of preference. The next step would be to make full use of your “document feature”. A simple click on ‘Documents’ allows you to access and store the relevant documents. Then you can label them accordingly by date or nature of content and stack the files, such as PDF files, neatly.
Create one electronic folder that will contain other small folders related to it. It may be your family documents, office files or any other data. As far as naming the folder is concerned, avoid using abbreviations or short names. You should be able to immediately recognize what a document is from the file label. Make maximum use of your document folder and store file there.
As your electronic filing system grows, you will need to keep it current by moving documents to a disk that are no longer accessed regularly. By eliminating this clutter, it will be easier for you to use the filing system more efficiently. Management of the files not only reduces clutter and e-waste, but also offers you a great chance to generate a back-up for each of the documents and folders.
Try adopting the 3-D approach. In this approach for work related electronic files the stacking needs to be such that you are able to access ‘content’, ‘creator or task manager’ and ‘date’ at a single click. In this way, the upgradation of folders becomes quite easy this way and you will be able to recover the deleted files or folders in case of deletion or replacement.
So, follow the above methods and keep your electronic data more organized!
